The punch list completion email is the message that moves a project from active construction to handover. It tells the owner and the architect that every deficiency has been verified complete — with the evidence to prove it — and that the project is ready for substantial completion and retainage release. A vague "we are basically done" email creates disputes. A specific, evidence-backed completion email closes the project cleanly. This template and the closeout summary structure around it give you exactly what to send.
The completion email should reference the original punch list, state the number of items verified complete, attach or link the completion photos, and request the next step (substantial completion sign-off, retainage release, or the final walk). Use the template below and fill in the bracketed fields.
Completion Email — Structure
Subject: Punch list complete — [Project Name] — ready for final walk
Address the owner and architect by name
Reference the original punch list date and total item count
State the number of items verified complete (should equal the total)
Confirm every item was verified with a completion photo
Note any items intentionally deferred with owner approval
State that the project is ready for the final walk / substantial completion
Propose 2–3 dates and times for the final walk
List the closeout documents being delivered (drawings, O&M, warranties)
Request retainage release per the contract terms
Provide your direct contact for scheduling

When should I send the punch list completion email?
Send it after every punch item has been verified complete with a completion photo — not when the subs say they are done, but when you have confirmed it. The email triggers the final walk, substantial completion, and retainage release, so it should reflect verified completion.
Who should receive the completion email?
The owner (or owner's representative) and the architect, at minimum. Copy your project manager, the owner's facility contact if applicable, and any sub whose retainage is being released. Address the owner and architect by name in the greeting.
What evidence should I attach to the completion email?
A completion photo index tied to each item and room, the item-by-trade summary, and any deferred-items list with reasons and dates. If the closeout package is ready, attach or link it. The goal is that the email carries the evidence, not just the claim.
How is the completion email different from substantial completion?
The completion email notifies the owner and architect that the punch list is verified and requests the final walk. Substantial completion is the formal contractual milestone, typically documented in a Certificate of Substantial Completion, that is executed at or after the final walk. The email leads to the certificate.
What if the owner finds new items at the final walk?
Log them on the spot with photos, assign them, and dispatch them the same way as the original punch items. Note in the post-walk summary that substantial completion is subject to those new items. QuickPunch lets you log and dispatch new items from the walk in under a minute.
